Emailing Rosters

Roster email will help you communicate with your customers who've booked a particular event. Some ways you can think about using this feature to your advantage:


What does this feature do?

This feature allows you to schedule an email or send an immediate email to a roster of a specific event.


How can I use this feature?

To use this feature, follow the steps below:

  1. From your Occasion Workspace, click on "Calendar" from the sidebar menu.
  2. Click on the Event you want to notify the roster.
  3. Once the Event window opens, click the "Message" tab and select the "New Message" button and click "Send Email".
  4. Here you will be able to customize:
      1. The Sending Account
      2. The Subject Line
      3. The Message Contents
  5. You can choose to "Send now" or Schedule to send your message later.

Common Questions:

  1. Is there a way for to see, what I have I scheduled so far? - Yes, click on Reports from the sidebar menu, scroll to the bottom of the page, and select Roster Emails. Here, you’ll see a list of all emails that have been sent or are scheduled.
      • To view scheduled messages for a specific event, click on the event from your calendar workspace, then select Messages. The schedule will appear in the top left section of the message window.

  1. Can I modify an email that's already scheduled? - Yes, you can edit scheduled messages for a specific event. Click on the event, then select Messages. Click Edit to customize your message.
  2. Can I see Roster emails that have been sent? - Yes, to view all your messages for a specific event, click on the event from your calendar workspace, then select Messages.
      1. Alternatively go to Reports > Roster Emails, and you can see all roster emails sent.
