Orders 101
There are three ways to manage your orders:
- Viewing full order summary
- Create custom reports
- Export list of orders
- Print list of orders
- Cancel an order
Viewing full order summary
To view the full order summary of events, including specific information on add-ons, follow these steps:
- After logging into your Occasion Workspace, click on "Calendar" from the sidebar menu.
- Find the event on the calendar and click on it. This will open a pop-up window with information about the event.
- In the middle-right section, click on the blue "Other" button and select "View Complete Report" from the drop-down menu.
- This action will direct you to the Orders page.
- In the Quick Filters section, click on "Columns" to select additional columns you wish to view or hide on your report.
- To download this report, locate the "Export" button on the top right, which will allow you to export the orders to Excel, PDF, or print them.
Create custom reports
Custom Reports are great for saving a report structure that you can reuse. Use cases for custom reports might include:
- Detailed Listing Report
- Customer List
- Email List
- Transaction Report for importing into QuickBooks
Filtering for the right data in the report:
- From your dashboard workspace, click on "Orders List" from the toolbar.
- Click on the "Saved Reports" tab.
- Click on "Create New Report".
- This will open a pop-up window that will let you filter the orders.
Here are some examples:
Example 1: Creating a list of customer emails
- In the pop-up window, scroll down till you see "Visible Columns" - select First Name, Last Name, and Email.
- Under "Report Title", give it a name - List of Customer Emails.
- Click "Save Custom Report".
Example 2: Creating a list of transactions in the last 30 days for import in Quickbooks
- In the pop-window, under "Order Attribute Filter" - select Order Date and then, under "Relative", select - "less than 30 days ago"
- Under "Visible Columns" - select Status is Complete or Cancelled, Order Date, First Name, Last Name, Payment.
- Under "Report Title", give it a name - Last 30 Days Transaction List.
- Click "Save Custom Report".
Export list of orders
- After logging into your workspace, click on Reports from the sidebar menu and then click on the “Orders” tile.
- Click on "Save Reports" Button
- Choose a custom report from the activity report option or the columns/filters you would like to export.
- Now, click on the "Export Orders" Button.
- Select the file format for the export.
Print list of orders
- After logging into your workspace, click on Reports from the sidebar menu and then click on the “Orders” tile.
- Click on "Save Reports" Button
- Choose a custom report from the activity report option or the columns/filters you would like to export.
- Now, click on the "Export Orders" Button.
- Select "Print".
Cancel an order
Cancelling an order is quick and easy in Occasion. Once an order has been canceled, the seats are released and made available to be booked again, and the customer will receive an email notifying them of the cancellation.
- After logging into your workspace, click on Reports from the sidebar menu and then click on the “Orders” tile or click on "Order List" from the toolbar on your dashboard workspace.
- Find the order you wish to change.
- Click “Edit Order”. This should open a new window.
- Scroll down and click the “Cancel Order” button. By doing so, the balance due will zero out.
