Add / Edit Notes to Events, Orders or Customers

There are three different types of notes you can add in Occasion:


Event Notes

Use cases include:

  1. Add custom information for an event
  2. Add specific pointers for the teacher to remember at the event

How to add notes to an event?

  1. Click on "Calendar" from the side bar menu and click on the event.
  2. Click on the "Notes" tab and click "Create New" to add a note to the event.

You can delete or edit any note, anytime, by coming back to this screen.


Who can see event notes?

Event notes are private notes only visible to team members logged in to their Occasion Workspace. They are also visible when a roster is generated or printed.


Order Notes

Use cases include:

  1. Change customer email in case of a typo or the customer needs to change their email
  2. Add allergy information
  3. Add changes to the order made by a staff - rescheduling, cancellation or refunding
  4. Add notes to the booking

How to edit customer email on an order?

  1. If the customer has a typo in the email or the customer needs to change their email, you can do this by going to the Order page and clicking on "edit customer"
  2. This will update on both the specific order and will then create a new customer profile under the new email.

Example: 

  1. Franchesta places an order with email address “Franchesta.loeigiee@gmail.com”.
  2. Franchesta realises that she used the wrong email and contacts the business to fix it.
  3. The Partner edits the order and fixes the email to “Pasta@occsn.com” and resends the email to Pasta@occsn.com
  4. Occasion will now create a new customer profile for “Pasta@occsn.com” and associated the order with the new profile. This fixes the issue where updating the email did not associate the order with the new customer profile.

How to add notes to a booking?

  1. From the Orders page look-up the order you want to add a note for.
  2. Scroll down to the bottom of the order and you will see a section to add a note to the booking.

You can delete or edit any note, anytime, by coming back to this screen.


Who can see order notes?

Order notes are private notes only visible to team members logged in to their Occasion Workspace. They are visible when an order is printed by the team member logged in.


Customer Notes

Use cases include:

  1. Add allergy information
  2. Add customer's date of birth
  3. Add the experience you have had with the customer

How to add notes to a customer?

After logging into your Occasion Workspace,

  1. Click on Reports > CRM
  2. Look-up the customer you want to add a note for and click on the "Show Customer" button.
  3. On the bottom left, you will see a section to add a note on the customer record.

You can delete or edit any note, anytime, by coming back to this screen.


Who can see customer notes?

Customer notes are private notes only visible to team members logged in to their Occasion Workspace.
