Managing Gift Cards

Gift cards are a powerful tool for boosting revenue and attracting new customers to your business. With Occasion's Gift Cards feature, you can seamlessly sell digital gift cards online while maintaining complete control over their management. Whether you need to check balances, resend codes to customers, or handle refunds, everything can be managed directly from your Occasion workspace - making gift card administration simple and efficient.


In this article, we will show you how to:


Check status and balances of a Gift Card

  1. After logging into your workspace, click on "Gift Cards" on the sidebar menu.
  2. On this page, you can see all the gift cards that have been sold, including:
    • Gift Card code and purchase date
    • Original value and remaining balance
    • Current status (Active, Expired)
    • Customer information
  1. Click "Open" next to any gift card to see its complete transaction history, including when and where it was used.


Redeeming Gift Cards

Gift cards can be redeemed both online by customers and manually by your team members.

Customer Online Redemption:

  1. Customers enter their gift card code during checkout on your booking page
  2. The system automatically applies the available balance to their order
  3. Any remaining balance stays on the gift card for future use

Redemption Notes:

  • Gift cards can be used for partial payments - customers can combine gift card balance with other payment methods
  • If the order total exceeds the gift card balance, customers will be charged the difference
  • Multiple gift cards can be used on a single order

Resend or Set New Expiration for Gift Card codes

  1. After logging into your workspace, click on "Gift Cards" on the sidebar menu.
  2. Search for the Gift Card Code using the search bar or browse the list.
  3. Click "Open" to access the gift card details.
  4. In the top right side of the page, you'll find buttons to:
    • Resend Code: Email the gift card code to the customer again (useful if they lost the original email)
    • Set New Expiration Date: Extend or modify the expiration date

When to use these features:

  • Resend Code: Customer lost their gift card email or needs it forwarded to someone else
  • Set New Expiration: Customer requests an extension or you want to update your policy
