Create a Birthday Party Event

Whether you’re planning a fun-filled birthday bash or an intimate gathering, Occasion makes it easy to set up and start taking reservations for your birthday party. Follow these simple steps to get started!


Access the Listing Editor

  1. Log in to your Occasion workspace.
  2. From your dashboard, click on "Listings" from the side bar menu.
  3. Select "My Templates" and click “Create listing” on the template titled "Birthday Party".

Enter Basic Event Information

  1. Event Name: Choose a catchy name that reflects the birthday party theme (e.g., “Jumping Jacks Birthday Party” or “Birthday Party Reservation”).
  2. Event Description: Provide a brief overview of what attendees can expect, such as activities, food, and entertainment (e.g., “Join us for a day of fun with games, cake, and lots of laughter!”).
  3. Checkout Style: Choose how you’d like your customers to book:
    • Old Checkout: A retro version of the checkout process—similar to the new layout but with an older, less refined design.
    • New Checkout: A modern, streamlined one-page design that brings all booking details together in a single view for a faster, more user-friendly experience.

Set Event Pricing

  1. Scroll down in the Listing Editor and click on "Add Question."
  2. Select “Fixed Attendee Pricing.” Enter the name of the package, price (e.g., Package of 10 Kids, $550) and the maximum number of spots you can accommodate (e.g., 30 max).
  3. Ensure the pricing reflects the value of the birthday party experience.

Sell Add Ons

You can enhance your birthday party listings by offering exciting add-ons that allow guests to personalize their experience! From extra treats like party favor bags and additional food options to entertainment services such as face painting or rental items like decorations and games, you have the flexibility to create a more memorable event

  1. Scroll down in the Listing Editor and click on "Add Question."
  2. Select “Priced Item” and Enter the name of the add on, the price per item (e.g., Party Favour Bags, $25) and the maximum number each person can buy (e.g., 20 party bags max).

Add Images

  1. Click the "Images" Tab: Go to the images section.
  2. Upload Images: Add up to 5 high-quality photos that capture the spirit of your birthday party—decorations, previous parties, or fun activities. Use stock photos from Unsplash if needed.

Schedule Your Event

  1. Select Date and Time: On the "Time Slot" tab, click "+ Add New Time Slot."
  2. Set the Date and Times: Choose the date and enter the start and end times (e.g., Saturday, December 15th, 1:00 PM - 4:00 PM).
  3. Save: Click "Save" to confirm your time slot.

Set Event Availability

  1. Go to the "Availability" Tab: Control how many guests can attend.
  2. Enter Maximum Guest Count: Specify the maximum number of guests (e.g., 20 spots for the birthday party).

Build Your Roster

  1. In the "People" Tab: Find the "Attendee Information" section.
  2. Check Required Information: Select fields like First Name, Last Name, and Email Address. Consider asking for dietary restrictions or special requests.
  3. Save Attendee Information: Click "Save" once you’re done.

Add Additional Pricing (If Required)

Perhaps you would like to collect a deposit or collect a sales tax.

  1. Go to the "Additional Pricing" Tab
  2. For deposits select "fixed deposit" from the dropdown and enter the deposit amount (e.g $225).
  3. For sales tax, enter the tax rate (e.g 5%)

Your birthday party event is now live and ready for bookings! Go ahead and preview the listing to see how it looks to potential attendees. 🎉
